Cancel a pending leave request
Withdraw a request that has not yet been approved without changing historical decisions.
What this guide helps you do
You can withdraw your own leave request while it is still Pending. Cancellation releases any tracked balance reserved by that request and removes it from the approval queue without erasing the record.
Open My Leave and find the request in My Requests. Open it if you need to confirm the dates or status before cancelling.
Check that the request can be cancelled
It must belong to you.
Its current status must still be Pending.
If an approver decides the request before your cancellation is saved, HRStuff keeps the approver’s decision instead.
Cancel the request
Open My Leave
Use the Leave year selector if the request is not in the year currently shown.
Find the pending request
Check the leave type, first and last day and number of working days.
Choose Cancel and confirm
HRStuff changes the status to Cancelled, removes the request from the approval queue and records the cancellation in the Activity Log.
Check the balance
For a tracked leave type, the request no longer appears under Pending and the days return to Remaining.
If the request has already been decided
Do not submit another leave request to reverse the decision. Contact HR and explain what is wrong. HR can keep the original decision and record the correct leave separately, or permanently delete the request if the record itself is wrong. This is important when approved leave has already affected balances, calendars, reports or payroll-related work.
