Review and edit a draft payslip
Check salary, additions, deductions, employer costs, payment date and notes.
What this guide helps you do
A draft can be reviewed and changed without exposing unfinished figures to the employee. Open ADMINISTRATION, Payroll, then choose Open Payslip beside a draft.
The page separates the stored totals at the top from the editable inputs and the live calculation workings below. Saving the draft writes the recalculated result into the stored record.
Start with the summary and warnings
A warning above the form tells you when required employee data is missing, a figure was changed by hand, the stored totals are behind the current rules or deductions would make net pay negative. Resolve the cause before publishing.
Gross pay is basic salary plus additional pay before deductions.
Deductions are amounts taken from the employee’s gross pay.
Net pay is gross pay less deductions.
Employer contributions are company costs and do not reduce the employee’s net pay.
Check the salary period and payment date
Period start and Period end describe the work covered. Date of payment is when the money is treated as paid. It cannot be before the salary period starts, and it determines the payroll year and year-to-date limits.
Understand the sources in the editor
Basic salary starts from the employee profile for a normal monthly draft.
Lines marked Payroll rule are calculated from the Payroll Builder.
Lines marked Enter this month are expected monthly inputs created by a custom-amount action.
Add payment, Add deduction and Add contribution create one-off lines for this payslip only. They do not change the employee profile or Payroll Builder.
A manual employer contribution is added beside any employer contributions calculated by Payroll Builder. Saving or removing the manual line does not remove a matching rule contribution.
An older draft may contain saved overtime or allowance lines from an earlier payroll setup. These remain visible as historical lines instead of current editable Payroll Builder items.
Change a calculated line only when necessary
Typing a different amount into a calculated payroll line creates an override for this payslip. HRStuff keeps both the rule’s amount and the amount you entered so the workings can say that it was changed by hand.
Use an override for a genuine one-period exception, not as a substitute for correcting a wrong rule.
Clear the amount box and save to return that line to the figure calculated by the rule.
A custom monthly amount is not treated as an unexpected override because the rule intentionally asks HR to enter it.
Use the payslip note carefully
Notes on the payslip is optional text the employee will see. Use it for a short explanation that belongs on the issued document. Do not put private HR discussion, investigation notes or unrelated personal data there.
Save and check the result
Choose Save draft
HRStuff validates the dates and amounts, recalculates the Payroll Builder items, stores any deliberate overrides and updates the totals.
Read the workings again
Check Payroll Line Items and How Each Figure was Calculated. Confirm the source, matched Rule Set, limits, rounding and any Changed or Entered this month badges.
Preview the employee document
Choose Preview. A Draft banner confirms that the employee still cannot see it. Return to the admin payslip to make further changes.
Delete only an unwanted draft
Delete draft permanently removes the working payslip and cannot be undone. Published payslips cannot be deleted. If a published record needs correction, move it back to draft, correct it and publish it again so the change remains visible in the Activity Log.
